TERMS OF SERVICE & LIMITS OF LIABILITY

Betty's Best Cleaning Services | Courtenay, BC | booking@bettysbestcleaning.ca

Please read these Terms of Service and Limits of Liability ("Agreement") carefully before booking our services. By booking a service, paying a deposit, or accepting a quote from Betty's Best Cleaning Services, you agree to be bound by these terms.

1. Booking, Pricing & Deposit Policy

Securing Your Service: To lock in your scheduled date and time, a non-refundable deposit equal to 30% of the total estimated service fee is required. This deposit allows us to dedicate professional resources and staff to your property.

Results-Based Flat Pricing: Our routine and deluxe services are quoted as a flat-rate investment based on the specific results and scope defined during your initial walkthrough.

Minimum Booking Commitments: Your flat-rate quote reflects a dedicated reservation of time on our schedule. You will be billed a minimum of the booking period and scope agreed upon in the approved estimate.

Scope Alterations & Extra Time: If a property requires work significantly beyond the initial assessment, or if you request on-site additions, you will be notified. Additional time or tasks will be billed at our current operational rates and require client approval before our technician proceeds.

2. Auto-Billing & Payment Terms

Automatic Credit Card Charges: By submitting your booking deposit, you securely enroll in our automated billing system. The remaining balance for all completed services will be charged immediately upon job completion to the credit card on file (Visa or MasterCard accepted).

Declined Payments: If a payment method is declined, we will notify you immediately via email and phone. To protect our operations, all services will be paused until the account is settled in full. Clients can securely update payment methods at any time via the online Client Hub.

Refund Policy: All credit card transactions and service fees are non-refundable. Partial or full refunds are granted solely at the absolute discretion of management if circumstances warrant. For any billing inquiries or payment cancellations, contact booking@bettysbestcleaning.ca

3. Scheduling, Consistency & Access

Availability: Receipt of a quote does not guarantee scheduling availability. Dates are booked on a first-come, first-served basis upon receipt of the deposit.

Dedicated Solo-Cleaner Framework: Our operational model pairs your property with a consistent, highly trained solo technician who takes personal ownership of your space. While we cannot guarantee the exact same cleaner every single time due to illness or time-off, we maintain detailed digital files of your preferences so that service remains perfectly consistent. Your automated booking notification will always display the name of your assigned technician.

Property Entry Requirements: We require secure entry via a door code, lockbox, or physical key prior to your first service. If access tools are not provided, an adult must be present to grant entry. Failure to grant access upon arrival will trigger our Lock-Out policy.

4. Cancellation & Lock-Out Policy

We deeply value our team's committed time and travel. Our tiered cancellation and rescheduling fees are structured as follows:

First Occurrence: Your first late cancellation or rescheduling request is completely on us—no fee applied.

    48+ Hours’ Notice: No fee.

24 to 48 Hours’ Notice: A flat $75 fee applies to cover administrative adjustments.

Less than 24 Hours’ Notice: A fee equal to 50% of the total estimated service amount will be charged.

Lock-Out / Same-Day Denial: If our technician arrives and cannot gain entry, or is turned away at the door, 100% of the service total will be charged to respect our staff's committed schedule and travel.

Our privacy policy may change from time to time. All updates will be posted on this page.

5. Property Preparation & Clutter Policy

Our technicians are specialized surface-cleaning professionals, not professional organizers.

Client Preparation: To get the highest quality clean, floors and counter surfaces must be reasonably clear of personal items, clothing, toys, dishes, and papers prior to our arrival.

Skipped Areas: Technicians will skip heavily cluttered spaces, or areas deemed unsafe or inaccessible.

Lifting & Item Movement: For the safety of our staff, technicians will only move lightweight, small items to clean underneath them. We do not lift or shift heavy furniture, appliances, or large electronics.

Excessive Clutter Billing: If a technician must spend significant time clearing clutter to access surfaces, this extra time may be billed separately or result in an incomplete clean.

6. Communication & On-Site Task Modifications

Centralized Notes: You do not need to give a tour to a new or covering cleaner. Your property's specific checklists and preferences are securely logged in our company software for your technician to review before stepping inside.

Add-On Requests: All requests for extra tasks (e.g., inside ovens, interior windows, or fridge cleanouts) must be booked through the office at least 24 hours in advance. Technicians cannot add unplanned tasks on the day of service without prior administrative authorization.

On-Site Adjustments: If an urgent extra task is requested on-site, the technician may have to skip a standard checklist item to remain on schedule, or your account will be adjusted to reflect the extra time required.

7. Service Area & Travel

Primary Service Boundaries: Standard flat-rate pricing applies to properties located within a 15-minute driving radius of our central location at 712-3030 Kilpatrick Ave, Courtenay, BC.

Extended Travel Fees: For properties located outside this primary 15-minute zone, a dedicated travel or general service fee will be calculated and appended to your quote.

8. LIMITS OF LIABILITY (Restaurant & Commercial Focus)

24-Hour Inspection & Reporting Window: Because restaurants are high-traffic environments, any service discrepancies, missed tasks, or claimed property damages must be reported via email within 24 hours of service completion. We cannot accept liability or issue credits for claims made after this window.

Slip, Trip, and Fall Disclaimer: Our technicians use commercial-grade degreasers and wet-mopping procedures to tackle heavy kitchen grease. While services are performed after-hours, any restaurant staff, management, or third-party vendors who enter active work zones do so at their own risk. We are not liable for slips or falls resulting from wet floors during the scheduled cleaning window.

Exclusion of Culinary Equipment Liability: Our commercial scope is strictly limited to structural flooring and floor drains. We do not clean, degrease, or service cooking equipment, line lines, ovens, fryers, walk-in cooler interiors, or exhaust hoods. Betty's Best Cleaning Services is completely absolved of liability regarding health inspection violations or mechanical failures concerning kitchen equipment.

Floor Drain & Plumbing Disclaimers: Technicians sanitize and flush floor drains to control organic debris. We are not liable for pre-existing plumbing blockages, grease trap failures, or mainline backups. If a floor drain overflows during standard rinsing due to a structural restriction, we will notify management immediately but cannot accept liability for water damage.

Pre-Existing Wear & Tear: We are not liable for pre-existing glass scratches, worn floor sealants, grout degradation, or scuffs caused by daily restaurant operations. Additionally, restaurant staff must stack dining room chairs nightly. If chairs are left down, our technician will clean around them to the best of their ability, but we are not liable for minor floor scuffs caused by manually shifting unstacked furniture.

High-Value & Irreplaceable Items: Please secure or put away highly sentimental items, unique decorations, or property valued over $500 prior to your clean. We limit our maximum liability for any single broken or damaged item to a cap of $500, provided it is verified to be the direct fault of our technician.

WorkSafeBC Heights & Safety Limits: To maintain compliance with WorkSafeBC regulations, our solo technicians are strictly restricted to using a maximum of a three-step ladder for high-dusting tasks. Surfaces exceeding this limit will be addressed from ground level using extension tools or bypassed entirely if unreachable.

Workplace Environment & Safety: For the comfort and safety of our staff, the property must maintain a reasonable working temperature during extreme weather. We reserve the right to bypass any zone deemed structurally unsafe, poorly lit, or environmentally hazardous.

🏠 Residential Initial Clean Clarification (Addendum for Home Quotes)

Our weekly and bi-weekly maintenance visits are designed to keep an already-maintained home beautifully fresh and consistent. Because of this, if it has been a few months since your home had a professional deep clean, or if it has accumulated some heavy buildup, we aren’t able to jump straight into a regular maintenance schedule just yet. To ensure we can deliver the high standard of clean you expect, we require starting with an initial Deep Cleaning. This allows our solo technicians to establish a flawless baseline in your home first, making it perfectly ready for seamless, ongoing maintenance care.
